Time Announcement

Configure file-based spoken time announcements, then use a dynamic marker so TeoCast announces the correct time when it reaches the event.

  1. Prepare the audio folderKeep the spoken time files together. TeoCast supports HHMM-style names such as 0119, 1230 and 2330, as well as hour-and-minute file sets.
  2. Open Control Panel → Time AnnouncementEnable file-based time announcement, choose the folder with Browse, then run Validate Files.
  3. Apply the configurationChoose the required schedule or insert behavior and select Apply Time Announcement.
  4. Place the markerIn TeoCast Workstation, open Playlist Generator, add the Time Announcement marker to the Program Log, then review it before delivery to Main.
  5. Review before airUse Preview / Cue when available, then generate or save the final broadcast log.
Note: A Time Announcement is a virtual queue event, not a regular music track. If no matching files are found, recheck the selected folder and run validation again.

DJ Break

A DJ Break is a prepared presenter or DJ recording placed as a standalone on-air item in the broadcast order.

  1. Prepare the recordingExport the finished DJ Break and make sure it is available from the source or library used in TeoCast.
  2. Open the target logOpen TeoCast Workstation → Playlist Generator, then load the Program Log you need to edit.
  3. Add the DJ BreakSelect Add Content → DJ Break, then choose the recording.
  4. Set the on-air positionPlace it at the right time and review the items immediately before and after it in the timeline.
  5. Generate and checkSave or generate the log, then confirm the DJ Break appears in the final playlist before the program begins.
Best practice: Preview the recording through Cue first and use a clear file name so an operator can identify the correct break quickly.
Live operation guide

Auto / Manual Mode

Use Auto Mode for continuous operation or Manual Mode for an operator-led show. Check who owns the upcoming queue before switching.

  1. Open the mode controlUse the AUTO MODE / MANUAL MODE control in the Main window’s top header.
  2. Use Auto ModeEnable Use Library Music when the station should fill from eligible library music. When a Scheduler Program Log is loaded, its plan takes priority over generic library refill.
  3. Switch to Manual for a live shiftThe currently playing item stays on air. Waiting Program Log rows are removed from the live queue without being marked as skipped; the operator takes control of the upcoming items.
  4. Return to Auto deliberatelyCheck the Program Log and current time before switching back. TeoCast checks scheduled-log recovery before using ordinary library refill. Confirm the next items and supervise the transition.
  5. Review optional assistsCheck the enabled station assists and their settings. Clocks and schedules belong to the Workstation planning workflow; do not expect the old Music Clock fallback to refill the live queue.
Before leaving the station unattended: confirm the mode label, current item, next transition and expected Program Log. See the Workstation guide for planning and delivery.
Central configuration guide

Control Panel

Control Panel is the central place to configure the station before normal on-air operation.

  1. Open Control PanelSelect Control Panel from the main TeoCast title bar.
  2. Set Audio Setup / Audio RoutingChoose Main Output for on-air playback and Preview / Cue Output for safe auditioning. Select DJ Mic Input only when the station uses it.
  3. Test routingUse a safe test item to confirm Main and Cue audio arrive at the correct devices.
  4. Configure station toolsOpen Talk Over, Voice & Sweeper or Time Announcement when the station needs those features, then apply the change in that section.
  5. Review storage and licensingCheck Library / Storage, System and License / Activation as needed, then confirm product status before going live.
Safe workflow: apply one setting at a time and verify it. Keep a record of your audio-routing and backup settings for recovery.
Practical setup guide

Audio Setup & Stability

Start with Balanced for normal operation. Use High Stability when a slower or busy computer needs more buffering.

  1. Choose the output devicesOpen Control Panel → Audio Setup. Select Main Output for the on-air feed and Preview / Cue Output for auditioning. Check the selected microphone if used.
  2. Choose the stability profileBalanced is the default. High Stability adds more software buffering for slower or busy PCs. Low Latency prioritizes faster response and needs more consistent processing time.
  3. Save and restartSelect Save Audio, then restart TeoCast during a safe off-air or maintenance period. Test playback, Cue and streaming after restarting.
  4. Check persistent glitchesObserve CPU and disk activity while opening Workstation or other programs. Close unnecessary workloads and check the selected audio device and driver. See the performance troubleshooting guide.
Buffering is not a CPU fix: High Stability can tolerate longer processing delays but does not guarantee lower CPU use. These profiles do not change an ASIO device’s hardware buffer; that is configured in the device’s own control panel.
Practical setup guide

Hotkeys & Templates

Hotkeys provide quick access to jingles, effects and other audio. New assignments reference the original file path.

  1. Keep the source audio in a stable folderUse a permanent local or station-accessible location. Avoid temporary download folders and removable drives that may be disconnected during a show.
  2. Assign and test a padRight-click the pad and choose Load to select its audio. Check the pad label and audition at a safe time before live use. The panel’s Insert button loads a saved template.
  3. Save a reusable templateUse Template to manage the pad layout. Duplicating a template copies its assignments; it does not make a new copy of every assigned audio file.
  4. Resolve Missing fileIf a source file is renamed, moved or removed, reassign the affected pad to its new location. Keep source files available to the computer playing the hotkeys.
  5. Back up both partsBack up SavedFiles\HotkeyTemplates and the original audio referenced by the pads. Preserve any Audio folders already present inside older templates until every assignment has been checked.
Do not delete older template audio blindly: an existing pad may still point to that copy. Renaming or deleting a template should not be used as a way to delete source audio.
Practical setup guide

Storage, Backup & Restore

A complete station backup includes database records, settings and templates, and the audio those records reference.

  1. Find the active locationsIn Main, open Control Panel → Library / Storage. Read Settings Folder and Station Database, then use Open Saved Folder. The usual settings location is %LOCALAPPDATA%\TeoCastAutomation\OriginalSql\SavedFiles.
  2. Back up station records and Voice TracksSign in as a TeoCast Administrator and select Backup Library. Choose a folder outside the installation directory and keep the completed TeoCast_Backup_... folder intact. It contains application-format teo_cast.sqlbackup station records and Voice Track backup content.
  3. Copy templates and original audio separatelyBackup Library does not include normal library audio or HotkeyTemplates. Separately copy the SavedFiles settings/templates and original media folders, including any older template Audio folders. Main imports retain original file paths; Workstation imports use the library’s destination on Main.
  4. Restore only after a safety backupRestore Library replaces current SQL station records. Back up the current station first, then select the completed TeoCast backup folder. Restore templates separately with TeoCast closed and make their referenced audio available.
  5. Prepare computer moves carefullyKeep a second backup on another drive and verify important audio and templates. For a new computer or SQL instance, follow the installation and restore guide and contact support if the station identity or connection changes.
SQL storage is separate: do not assume the database lives in C:\TeoCast Automation\Data. Copying live MDF/LDF files or another Windows user’s protected station.profile is not the documented restore method.

Traffic & Proof of Play

Traffic plans commercial activity. Proof of Play reports what Main actually aired, so a scheduled item alone is not proof of transmission.

  1. Prepare the campaignIn Workstation → Traffic, create or select the client / advertiser and campaign. Check the commercial audio, active dates, scheduling rules and billing details before generating the programme.
  2. Review the broadcast planReview commercial eligibility and placement in the generated Program Log. Resolve missing audio and scheduling conflicts before arming or delivering it to Main.
  3. Reconcile actual playbackOpen Traffic → Proof of Play, choose From / To and the client / advertiser filter, then select Reconcile. Main’s playback records are the source for actual airings.
  4. Preview and exportSelect View / Print, check the advertiser, date range and actual start times, then use Save as PDF or Print.
  5. Investigate an absent airingCheck the date range, campaign/audio association and actual Main playback. A planned or skipped item is not an Aired entry. Reconcile again after Main’s playback results are available.
Report scope: the customer proof report contains Aired entries and actual start times, without invoice amounts. Main History exports and billing documents are separate reports. Commercials played manually can also produce proof when their audible playback is recorded.
Practical setup guide

Billing & Payments

Use Traffic billing to invoice eligible commercial activity and keep an auditable payment history.

  1. Check the client and billing setupConfirm the campaign’s rates, billing method and currency. Reconcile the relevant airings before billing actual plays; completed package charges follow their package rules.
  2. Create the invoiceIn Traffic → Billing, select Create Invoice. Select the campaign / currency and billing period, then review the invoice details and eligible unbilled airings or completed package charges before creating the invoice.
  3. Review the customer documentSelect the invoice and choose View / Print Invoice. Check the station and client details before printing or choosing Save as PDF.
  4. Record a paymentSelect Record Payment and enter the amount, date and method. The amount must be positive and no greater than the outstanding balance. Payments stay within the invoice currency.
  5. Correct the recordUse Reverse Payment to correct an existing payment entry, or Void Invoice for an invoice that should be cancelled. Review the selected record and enter the required reason; check the resulting balance.
Document details: set the company and signatory fields in Control Panel → Branding. Proof of Play verifies airings; an invoice records the charges.
Practical setup guide

Station & Document Branding

Configure station appearance and business details before sharing customer documents.

  1. Open Branding on MainGo to Control Panel → Branding and review the available station name and logo settings. Use a clear image that remains readable at the display size.
  2. Enter document detailsUnder Invoice & Proof of Play Details, complete the company name, address and contact information, email, authorized signatory and title as appropriate.
  3. Save the document fieldsSelect Save Document Details. Close and reopen an existing invoice or proof preview so it displays the saved information.
  4. Verify the exported resultReview the report header, contact details and signature area in the preview before printing or saving the PDF.
Check both uses: the on-screen station appearance and the business details printed on reports serve different purposes. Review each after editing.
Practical setup guide

Microphone, Talk Over & Cue

Use separate monitoring to check audio safely and confirm microphone routing before a live show.

  1. Select the microphone and Preview OutputOpen Control Panel → Audio Setup, select the DJ microphone and a separate Preview / Cue output where available. Save Audio and restart when audio settings require it.
  2. Test Cue in headphonesTurn Cue Monitor ON from Main’s bottom toolbar. Use the Library cue player or hover a Playlist Queue row and select CUE. Click the active queue CUE again to stop, or use the Library cue player’s Play/Pause control. The queued item stays in place.
  3. Test the microphone pathUse the MIC control to verify the input level and the intended Main / stream routing. Use headphones to avoid speaker feedback and keep MIC off until ready to speak.
  4. Configure Talk OverOpen Control Panel → Talk Over and adjust music reduction for clear speech. Use the TALK OVER control to reduce the programme level while speaking, then turn TALK OVER off to restore it.
  5. Check the listener feedWhen streaming, confirm that the chosen stream source includes the desired microphone and programme mix. Listen to a test stream before a live programme.
Cue is a preview route: if Main and Preview are assigned to the same physical output, you may hear both together. Check the actual device and mixer routing before relying on private auditioning.
