TeoCast Workstation

Prepare programming while Main stays on air

Organize station audio, define rotation rules, build clocks and schedules, then review Program Logs and Voice Tracks before sending them to Main. Workstation uses the shared SQL station; Main remains responsible for live playback.

Understand the connected workflow

Main and Workstation share station records. Workstation provides editing and preparation tools; Main provides the live queue, media access and Workstation authorization.

TeoCast Main

Runs Deck A and Deck B, Auto / Manual Mode, hotkeys, audio processing and streaming. Keep Main running throughout a Workstation session.

TeoCast Workstation

Prepares Libraries, Rules, Clocks, Schedule, generated Program Logs, Voice Tracks and Traffic records. Its Program Logs view is not the live ON AIR queue.

Access: Main needs licensed Main and Scheduler access, or an active Demo session. Sign in to Workstation with an enabled TeoCast Administrator or Scheduler account.

Choose the correct installation setup

Close the TeoCast apps being updated. Run TeoCastInstaller.exe as your normal signed-in Windows user; Setup requests administrator approval when needed.

1

Install Main on the broadcast computer

Choose TeoCast Automation. This includes Main and its local Workstation. A fresh Main setup requires SQL Server Express with SQLEXPRESS and Mixed Mode authentication; TeoCast does not install the SQL Server engine.

2

Install Workstation on an editing computer

Choose TeoCast Workstation on the separate PC. It connects to Main’s existing SQL station and needs no local SQL Server installation.

3

Preserve an existing station

Use Update / Repair for an existing installation. A fresh installation does not automatically import earlier station data. Reconnect to the existing station with Connect and Save instead of creating a new station.

Complete the SQL Server setup guide on Main first. The SQL database account and the TeoCast user account are separate.

Connect a separate Workstation

Record the actual server address, database name and database account shown on Main after station setup. Use those details on the editing computer.

1

Check SQL networking

Make Main’s SQL Server reachable over TCP/IP and allow its actual SQL TCP port through Windows Firewall. Main’s installer adds the separate TCP 16453 media/authorization rule; it does not configure or open SQL Server.

2

Enter the shared station connection

Open Workstation’s SQL Server Settings. Enter Main’s network server address, the same database name, database username and password. Use MAIN-PC\SQLEXPRESS or MAIN-PC,PORT, replacing the examples with the actual computer name and SQL port. An lpc:.\SQLEXPRESS address is local to Main and cannot be used from a separate PC.

3

Save and sign in

Choose Connect and Save, then sign in with an enabled TeoCast Administrator or Scheduler account. Connection settings are protected for the current Windows user. After saving a different connection while TeoCast is open, restart Main and Workstation.

If Main becomes unavailable: Workstation access and saving pause after the authorization grace period. Open edits are retained while reconnecting. Restore Main and the connection before continuing the save.

Prepare, review and deliver Program Logs

Follow Libraries → Rules → Clocks → Schedule → Generator → Program Logs. Save rule and schedule changes before generating the broadcast log.

1

Libraries: prepare playable content

Import and organize music, commercials, station IDs and other content. Check metadata, duration and cue points, and preview representative files before scheduling them.

2

Rules: define rotation

Use NEW RULE when needed, set the applicable separation, repeat and fallback rules, then choose SAVE. Use RUN VALIDATION to review the rule settings.

3

Clocks: arrange programme elements

Choose New Clock, then Add Item to arrange music and station elements with their source libraries and rules. Confirm each item with Add Item or Save Item, then use Validate Clock and resolve blocking problems.

4

Schedule: assign clocks to time blocks

Set each block’s Start Time, End Time and Assigned Clock, then choose Save Changes. Check gaps and overlapping blocks before generation.

5

Generator: build the planned output

Set Date Range — From/To and Generate clock / block. The Schedule Plan follows the selected dates. Choose Generate Playlist, inspect the rows and Review Warnings, then choose Save Program Log. This saves to the station database without changing Main’s queue; Save Preset saves settings instead of the generated log.

6

Program Logs: review and validate

Select the saved log and check its broadcast window, track order, commercial rows and Voice Tracks. Resolve blocking errors, review other warnings, then choose Validate Log.

Schedule Auto-load

Arm the validated log for its broadcast window, then check Main’s confirmation and the Auto-load state. Main must be in Auto Mode to load it; Manual Mode leaves the waiting queue unchanged. Use Disarm to remove automatic loading. If arming after the start time, review the catch-up confirmation: earlier items are marked Skipped.

Send to Main Player

Send the validated log to Main now. The confirmation explains that this replaces the waiting Main Playlist Queue; the currently playing track is not interrupted. Check Main’s queue after sending.

Traffic and reporting: Prepare commercial bookings in Traffic, then review their placement in the log. Use Proof of Play for reconciliation and customer reports, and Billing for invoices and payment records.

Prepare Voice Tracks from Workstation

Work on the exact song or Program Log transition that will carry the presenter audio. Keep Main connected while preparing and saving the assignment.

1

Review the transition

Open the intended Voice Track transition and preview the source audio through the configured Cue output. Check the song’s cue positions before placing the presenter audio.

2

Record or import a take

Confirm the microphone and recording folder, then use Record VT and Stop. Alternatively, choose Import Voice Track. Position and preview the take, then click Save Voice Track for the selected transition.

3

Review late changes separately

For an already loaded log, saved Voice Track changes are staged for the exact Waiting items. Choose Validate VT Changes when offered, then check Main’s acknowledgement. This does not resend the whole Program Log. Items already on air or completed cannot be changed by a late insert.

See the Voice Tracking guide for cue markers, assignments and the shared RAMP / VOICE TRACK countdown.

Keep Main in control of live playback

Prepare and review in Workstation, then monitor actual queue loading and ON AIR playback in Main. A saved or validated Program Log has not necessarily reached the live queue.

Auto and Manual operation

Main’s mode controls queue operation. Library Auto Fill runs only when a Scheduler Program Log does not own the queue. Switching to Manual keeps current ON AIR audio running and removes waiting Program Log items without marking them skipped.

Check actual results

Use Main’s playback state and the Program Log’s As-Run results to confirm what happened. Workstation’s planned rows are not proof that each item aired.

Before transferring a station: Use Main’s Backup Library for SQL station records and Voice Track audio. Back up HotkeyTemplates and ordinary library/Hotkey source audio separately. See the Installation and Activation guide.
